CAMP POLICIES

The camp office must be notified in writing, via email, at least two weeks prior to the beginning of the camp session to receive a refund. Cancelations less than 2 weeks from the start date are not eligible for credit or refund. All cancellation requests are subject to a $50 administration fee per child, per week. For example, if you have two children registered in the same week, this counts as two registrations (2 x $50), or if you have one child registered for two weeks, you also have two registrations (2 x $50). These will not be applied if the camp is forced to cancel a week.

If a child is sick and cannot attend the camp, a full refund will be granted with a doctor’s note. 

Pro-rated refunds are not available for days absent. The full session’s fees are due even if a child is registered and attends only part of a session.Transfers may be made up to two weeks prior to the start of a session providing there is available space in the desired program.

Campers will ride on neighbourhood streets, bike paths and trails for up to an hour at a time.

This is not a “learn-to-ride” day camp – campers need to possess a minimum ability to attend camp. 

Minimum required riding ability is riding a two-wheeled bike (no training wheels) competently, safely and under control, possessing the following skills: 

  • able to start off
  • able to slow down & stop
  • able to ride in a straight line
  • able to turn left/right
  • able to do a shoulder check (look behind themselves) while riding

A cycling evaluation will be done on the first day of camp to confirm that your child has the minimum required ability to attend camp. 

Toronto Bicycle Tours & Events and Hidden City Day camp reserves the right to remove a camper from camp on the first day if it is determined that they do not have the minimum required ability to ride safely during camp. Refunds will not be issued in this case. 

Parents should confirm that their child already has the minimum required riding ability to attend camp. 

If in doubt a parent can schedule a time for Toronto Bicycle Tours & Events to do a 15-minute cycling evaluation of their child prior to their week of camp to confirm cycling ability.

Our camps run rain or shine; therefore, we don’t refund or credit for days missed by choice due to weather. All children should come to camp with weather-appropriate clothing and related gear. If extreme weather jeopardizes the safety of children or employees in any way, the programs may hold off on specific activities until conditions improve. The decision to cancel programs due to potentially hazardous weather are made in consultation with camp managers and local weather forecasts or advisories. In the event of any cancellations due to inclement weather, every effort will be made by Toronto Bicycle Tours & Events to contact all clients affected via email, phone, or informative postings at affected locations and sites.

Toronto Bicycle Tours & Events is committed to providing a safe environment for all campers. We want to reassure all parents and guardians that Hidden City Day Camp follows all health and safety protocols recommended by Toronto Public Health and the Ontario Ministry of Health. Below are the steps we take to ensure a safe environment for all campers and staff members:

  • Promoting regular, proper hand washing and hand hygiene.
  • Ensuring all equipment and supplies used are made of a material that can be cleaned, and cleaning of these items are carried out frequently, and after each cohort use.
  • Training all staff on COVID-19 prevention procedures in accordance with Public Health guidelines.
  • Ensuring that staff and campers do not come to camp if they are sick or showing any symptoms of COVID-19. They must contact Telehealth or a Healthcare Professional and follow their guidance – a negative COVID-19 test result may be required before returning to camp.

We are a nut-aware camp and we request that no nuts are allowed at any of our camp locations. If you bring a snack or lunch for your child, please ensure that it does not include any nuts as some children may have a serious allergy.

Sometimes, especially with all the excitement of camp, kids lose things. We recommend that children don’t bring valuables with them to camp, and that every parent checking out with their child’s instructor at the end of each day takes a moment to ensure that all their child’s items go home with them. We are not responsible for lost or stolen property; however, we do maintain a lost and found bin where we collect items that we find. At the end of every term, the lost items are taken to the nearest charity and donated.

During camp, digital media may be taken for media or marketing purposes.  You will have the option to grant Toronto Bicycle Tours Incorporated & Hidden City Day Camp the right to use, any photo and video materials of your child taken during camp, for the purpose of promoting Hidden City Day Camp.  Photos may be used in program brochures, photo displays, and on our Toronto Bicycle Tours Incorporated & Hidden City Day Camp website and social media. Toronto Bicycle Tours Incorporated will not release any full names or give any other information out regarding the identification of individuals in the photos without your prior consent.

Toronto Bicycle Tours & Events respects its customers rights to personal privacy. Personal information is not lent or sold to any person or agency for any purpose. Any personal information customers have provided to Toronto Bicycle Tours & Events will be used to deliver services to them only, and to keep them informed and up-to-date about the activities of the company. These activities include advising customers of initiatives, programs, services, confirmations, special events, and/or emergencies. If individuals wish to have their personal information amended or removed from the company databases, they may simply click the “Unsubscribe” link on the bottom of any email or send a message to camp@torontobicycletours.com. The company website and online database is hosted on a server using the Secure Sockets Layer (SSL) protocol to encrypt or encode the data and to ensure security during the online registration process.

Toronto Bicycle Tours & Events believes that praise and positive reinforcement are effective methods of teaching and behavior management of children. When children receive positive and understanding interactions from adults and others, they develop good self-concepts, problem-solving abilities, and self-discipline. Employees are expected to conduct themselves at all times in a respectful and professional manner when working with children and interacting with parents.

By registering with Hidden City Day Camp, the parent/guardian of the registered camper(s) on their own behalf and on behalf of the camper(s) hereby agrees that Toronto Bicycle Tours & Events will not be held responsible for any accident, injury or loss, liability, damage, or cost they may incur, however caused, whether negligently or intentionally, and agrees to release and hold harmless all instructors, staff, volunteers, and sponsors from all claims or damages without limitation which may arise as a result of/or by reason of such accident or loss.

Your child’s safety is our number one priority! We’ll do everything in our power to protect all children from any potential harm. We reserve the right to dismiss any child from a program that intentionally harms others, brings a weapon to the program, vandalizes property, or displays other extreme behavior. In these instances, no refund is issued. In matters of inappropriate behavior, parents are notified verbally and/or in writing with a course of action. All Hidden City Day Camp employees must complete a criminal record check, or, if not applicable, supply two signed professional character reference checks. All supervisors and managers must complete a criminal record check before lessons/camps begin. All potential employees are screened during their interviews, and their references are contacted before they’re offered employment.
